Host Organisation Terms

What host organisations can expect from CC Volunteer, and what we ask of them in return.

1. About these terms

These Host Organisation Terms apply when your organisation accesses or uses CC Volunteer, part of CAQA Groups and Career Calling International Pty Ltd (ABN 53 162 651 238), or receives volunteers through our placement service. By using this website and by accepting volunteers we refer, your organisation agrees to work with us lawfully, respectfully and in line with these terms. Specific arrangements for individual partnerships or programs may be confirmed separately in writing.

2. Who can host

CC Volunteer partners with not-for-profits, charities, community groups, schools, sporting clubs, social enterprises and other organisations that can offer genuine, safe and supervised volunteer roles. We work with hosts across community services, education, environment, events and administration, and we welcome organisations of any size that share our commitment to treating volunteers well.

3. What CC Volunteer provides

We introduce screened, matched volunteers whose interests, availability and goals fit the role you describe. Depending on the program, we can also help you shape role descriptions, coordinate student, youth and new-arrival placements, organise corporate volunteering days, and verify volunteer hours so that contribution can be recognised through skills evidence portfolios and references. Our service to hosts is arranged through this website's contact pathway and directly with our team.

4. Host responsibilities

As a host organisation you remain responsible for the volunteer's day-to-day environment. We ask every host to provide a safe workplace and comply with applicable work health and safety laws; give each volunteer a suitable induction, clear instructions and appropriate supervision; hold insurance appropriate to engaging volunteers, including personal accident and public liability cover where relevant; engage volunteers lawfully and never use a volunteer to replace paid work in a way that breaches workplace laws; and report to us promptly any incident, injury, near miss or conduct concern involving a volunteer we have referred.

5. Role information and accuracy

Placements depend on accurate role information. You agree that role descriptions, locations, times, physical requirements and any screening requirements (such as a police check or Working with Children Check) you give us are accurate and kept up to date, and that you will tell us promptly if a role changes or is withdrawn.

6. Screening and suitability

Screening is a shared responsibility. Our Screening and Suitability Notice describes the checks CC Volunteer may complete before referring a volunteer. Hosts remain responsible for verifying any check that the law or their own policies require for a specific role, and for any additional induction or supervision requirements that apply in their sector.

7. Treatment of volunteers

Volunteers referred by CC Volunteer must be treated with courtesy and respect, free from discrimination, bullying and harassment. Volunteers are entitled to decline tasks that are unsafe or outside the agreed role, and to withdraw from a placement in line with our Safety and Conduct Policy. Where hours, portfolios or references form part of the placement, we ask hosts to confirm records honestly and promptly.

8. Information you provide

Contact details, role information and feedback your organisation provides are handled in accordance with our Privacy Policy. Volunteer personal information we share with you is provided only for arranging and supporting the placement, and must be kept confidential, used for no other purpose and protected from misuse.

9. Fees and payments

No payments are taken through this website. Listing roles with CC Volunteer and receiving matched volunteers does not attract a fee payable through this site, and the website contains no payment facility, so no refund or cancellation charges apply to its use. If your organisation engages us for a larger program - for example, the design and coordination of a recurring corporate volunteering initiative - any commercial terms are scoped, quoted and agreed separately in writing before work begins.

10. Limits of our role

CC Volunteer facilitates introductions and supports placements; we are not the employer, principal or insurer of volunteers placed with your organisation, and information on this website is general in nature rather than legal advice. Your organisation should seek its own advice on volunteer engagement, insurance and regulatory obligations that apply to its activities.

11. Pausing or ending a partnership

Either party may pause or end a hosting arrangement by giving reasonable notice. CC Volunteer may decline or withdraw referrals where safety, conduct, insurance or role concerns arise and are not resolved. Ending a partnership does not affect obligations relating to volunteer information already shared or incidents that occurred during a placement.
